Selecting a file will reorder its records so that when they are viewed from within a different file (ie. in a portal) they are correctly sorted. The procedure used to do this may also reduce the disk space used by the file.
To do this, PRELUDE will create a new file in the ‘Files’ folder with the same name as the original, but suffixed by ‘NEW’, eg. ‘RecordingsNEW’. All the records from the original will be copied into the new file, in the correct order. This might take a very long time.
On completion PRELUDE will close; you should remove the old file from the ‘Files’ folder (don’t throw it away quite yet), and replace it with the new one by renaming it, eg. change ‘RecordingsNEW’ to ‘Recordings’. It is very important that you get the name right! Check that everything looks okay by starting up PRELUDE and only then delete the original.
If the process is cancelled before completion, not all the records will have been read into the new file, so the NEW file should be discarded. The original file, however is left unaltered and should remain in the ‘Files’ folder.p
